Mailbox Deletion Flow – Protection via Recycle Bin and Recovery Features


Summary

This article provides a summary on Exchange mailboxes soft-delete and recovery features

Applies To

This article applies to MachPanel all versions(v.6 onward)

Pre-Requisites:

Exchange is IntegratedWith MachPanel Control Panel
Exchange service is subscribed and can be managed
Mailbox are there and can be managed

Mailbox deletion:

Active mailbox can be deleted using any of these two options:

  1. Remove: Only mailbox will be sent to Recycle bin, AD User remains active
  2. Remove and delete AD User: Mailbox will be sent to Recycle bin, AD user will be removed once mailbox is permanently deleted



    When a mailbox is deleted, a job to Soft delete this mailbox is added to group job. Once processed, a record is moved to Recycle Bin.

    There are two approches:

    • Recycle Bin and Recovery Enabled: Mailbox will first go to "Recycle Bin" and then go to "Recovery" if enabled.

     

    • Recycle Bin Disabled (Set Do Immediate under Recycle Bin >> Settings tab): When mailbox is removed, it will add a soft delete job and right after few seconds which soft delete is complete it will add permanent delete job. Once permanent delete job is completed the mailbox will be directly moved to Recovery section

     

    Recycle Bin:

    Navigate to path: Home > Service Director > General > Recycle Bin​ from where soft-deleted mailbox either be Permanently deleted or restored (click checkboxes and use buttons for bulk operation).

    1. Permanent Delete
    2. Restore

    Jobs are added in Exchange Group Jobs to permanently delete or restore soft-deleted mailbox, once processed successfully mailboxes get deleted permanently (Permanently deleted mailbox(es) are added to Recovery listing) or restored and can be seen in mailbox listing respectively.

    If you click “Permanent Delete”. You get below alert and mailbox is moved to “Recovery”.

    At this point, if you try to add the same mailbox again, you get below alert.

     

    So, you have to remove from “Recovery” section to be able to recreate the mailbox.

    Settings:

    Under settings tab you can select number of days to automatically delete user mailboxes as well as you can send email notification after 'X' numberof days fo deletion. Selecting Do Immediately will delete immediately all the deleted mailboxes.

    Recovery:

    Navigate to Home > Service Director > General > Recovery, all permanently deleted mailboxes can be found in recovery listing.

    Here mailboxes can be recreated or connected (click checkboxes and use buttons for bulk operation)

    1. Recreate: If either Remove and Delete AD user option was used to remove mailbox (Due to which AD user was also removed from Machpanel)
    2. Remove: You can remove mailboxes from recovery.
    3. Connect Mailbox: If AD user is active in Machpanel.

    Jobs are added in Exchange Group Jobs accordingly and on getting processed successfully, Mailboxes can be located in Mailbox listing again.

    Settings:

    You can set up email notifications number of days before permenant delete from "Recovery".
